SMTP Policy for Colocation and Cloud Services at Synapsecom
1. Purpose
This policy outlines the proper use of SMTP (Simple Mail Transfer Protocol) services within Synapsecom’s colocation and cloud environments. It aims to prevent abuse, spam, and other malicious activities that could lead to blacklisting of Synapsecom’s IP addresses.
2. Scope
This policy applies to all customers, tenants, and service users utilizing Synapsecom’s colocation and cloud infrastructure for email-related services.
3. SMTP Policy Requirements
3.1 Authentication and Security
- SMTP servers must require strong authentication before relaying emails.
- TLS encryption is mandatory for email transmission to ensure security.
- Customers must retain SMTP logs for at least 5 days for audit and security investigation purposes.
- Customers must maintain proper SPF, DKIM, and DMARC records for their domains.
- All SMTP usage must comply with applicable data protection laws, including GDPR or any local data privacy regulations.
3.2 Abuse Prevention & Rate Limiting
- Outbound email sending is subject to rate limits to prevent bulk email abuse.
- Customers must implement email queue monitoring and abuse detection mechanisms.
- Synapsecom reserves the right to temporarily suspend SMTP access if abnormal traffic patterns are detected.
3.3 Blacklist Monitoring & Response
- Customers are responsible for ensuring their email practices do not result in blacklisting.
- Synapsecom will conduct regular monitoring of IP reputation and may notify customers if abuse is detected.
- If an IP is blacklisted, corrective action must be taken immediately, or SMTP access may be revoked.
3.4 Prohibited Activities
The following activities are strictly prohibited:
- Sending unsolicited bulk email (spam).
- Running open relays or misconfigured mail servers.
- Engaging in spoofing, phishing, or fraudulent email practices.
- Sending email to purchased, rented, or scraped email lists.
4. Enforcement & Penalties
- Violations of this policy may result in temporary suspension or permanent blocking of SMTP access.
- Repeated violations may lead to termination of service.
- Synapsecom reserves the right to take legal action against malicious or fraudulent use of email services.
